This policy explains what information the Pivotal Counseling Center website (pivotalcounselingcenter.com) collects and how we use it. It covers this website only. Your counseling records and the health information you share with us as a client are protected by HIPAA and Illinois law and are described in our Notice of Privacy Practices, which we give every client and will send to anyone who asks.

Information you give us

When you fill out a form on this site, such as the contact form, insurance verification, reduced fee application, or group therapy and couples intensive inquiries, we receive what you enter. Depending on the form, that can include your name, email, phone number, date of birth, insurance details, household income, and anything you write in a message. Form submissions are sent to our office by email. We use them only to respond to you, schedule and verify care, and run our practice, and we treat them as confidential.

Please don’t send urgent or crisis information through a form. Forms are not monitored around the clock. If you’re in crisis, call or text 988 or call 911.

Information collected automatically

Like most websites, our web host keeps standard server logs, such as your IP address, browser type, and the pages you visit, to keep the site running and secure.

We use Google Tag Manager and Google Ads conversion tracking to measure how well our advertising works, for example whether someone who clicked one of our ads later called us or opened our scheduling page. These Google tools use cookies and similar technology. We do not run them on pages with forms that ask for health, insurance, or financial details.

You can turn off personalized Google ads at adssettings.google.com, and you can block or delete cookies in your browser settings.

Services from other companies

Some pages include content or tools from other companies, which have their own privacy policies:

  • Scheduling and client portal: online scheduling, the waitlist request form, the insurance benefits check, and the client portal are provided by our practice management vendors (SimplePractice, TherapyPortal, and TheraSaaS).
  • Videos and maps: YouTube videos and Google Maps.
  • Fonts: Google Fonts.
  • Badges: Psychology Today and LuxSci verification badges.

What we don’t do

We do not sell or rent your personal information, and we do not share it with anyone for their own marketing.

Children

This website is not directed to children under 13. Parents or guardians seeking counseling for a child should contact us directly.

Changes to this policy

If we change this policy, we will post the new version here with a new effective date.
